SpICE STALLHOLDER TERMS & CONDITIONS
Your stallholder booking
- Your Stallholder booking is subject to availability.
- Your pitch will be secured after you have submitted SpICE Stallholder Application request, made payment (if applicable) and/or you have received confirmation by email from the SpICE Group.
- The SpICE Group will communicate any cancellation of events via email/social media.
- Stallholders to give at least 2 weeks notice for cancellation. Note that you don’t notify us in time you may not be considered for future events.
- SpICE Group welcomes all donations – alternatively a discount should be offered to SpICE members on receipt of a Membership Card.
Site facilities
- Events on the Ship Inn Community Space are outdoors without protection from the elements.
- Stallholders must accept the risk of bad weather and will not generally be entitled to any refund unless the event is cancelled by the organiser.
- There is no provision for electricity, lighting or mains water unless organised in advance.
- There is no public parking on site. Vehicles required on site must not be moved from 30 mins before the event until the end.
- Decisions on allocation and positioning of stalls will be made by SpICE Group only.
Stallholder responsibilities:
- Stall set up time is from 1.5 hours before. Stalls to be set up in time for the event, and packed away promptly afterwards.
- Stallholders are responsible for their own sales transactions and to check adequate internet connection is available in advance.
- Be prepared to accept cash, and having electronic payment options is highly encouraged (the nearest cash machines are in the town centre.
- Stallholders are responsible for providing a table if required. Any gazebo or other apparatus is to be firmly and safely attached to the ground, and guy lines to be made visible.
- To reduce the risk of tripping/injuries accidents, stallholders must keep their stall site and the immediate vicinity clear of anything that might obstruct pedestrian traffic and cause tripping accidents.
- Stallholders are expected to trade for the duration of the event as a courtesy to their fellow traders and at the request of the SpICE Group. Should a stallholder be required to leave early it is expected that they will first gain permission from the SpICE Group Site Manager. Note that there should be no vehicular movements on site while the public are present.
- Stallholders must appreciate that the event is held on a small field with limited access. When setting up, closing down, loading and unloading in this area, they must exercise the same degree of care for their own safety and consideration for the safety and convenience of others.
- Stallholders are responsible for your own health and safety.
- Stallholders must comply with all directions given to them by the SpICE Group and must treat the event organisers, volunteers, other stallholders and members of the public with courtesy and respect at all times. Any unacceptable behaviour including, but not limited to, nuisance/hindrance to other traders, aggression, under the influence of drugs/alcohol, abusive language or refusal to comply with a reasonable direction will be treated as a breach of a condition of these regulations. Such a breach is likely to result in that stallholder being required to leave the event immediately and being banned from trading at any further events.
- Before vacating their stall site, stallholders must remove all rubbish and do all other things that may be reasonably necessary to leave the stall site in the same condition that it was in before they set up their stall for the day. Stallholders are required to remove and take away their own trade waste.
Certificates/Insurance
- Food vendors must maintain at least a 3-star hygiene rating, have a food safety certificate, and adhere to strict safety protocols, including gas (LPG) safety checks if applicable.
- Food stallholders selling food of any description must have a food hygiene & safety certificate and reply on their own public liability insurance to include cover for claims arising from the sale of hot food or from food contamination.
- Stallholders must at all times have available copies of their Public Liability Insurance policies and they must have public liability insurance cover of £5M.
- SpICE group is not liable for loss, theft, damage, or loss of earnings due to cancellation.
Claims Against SpICE
The stallholder acknowledges and agrees that the SpICE Group is not liable for any claims arising from:
- Damage to the goods or other property of the stallholder.
- Theft of the goods or other property of the stallholder.
- Damage to or the theft of the property of any person at the event.
